Who we are

Repair Café Ledbury (RCLedbury) is a not-for-profit organisation and all business is conducted by volunteers following the guidelines for Repair Cafés. We make every effort to fully comply with the General Data Protection Regulation 2018 (GDPR).

Our public meetings are held at Ledbury Community Hall, Lawnside Road, HR8 2AE.

What personal data we collect and why we collect it

We collect personal data for two types of person:

Volunteers:  We collect and hold names, addresses, contact telephone numbers, date of birth and email addresses of all our volunteers in order to contact them about RCLedbury activities.  We also collect an emergency contact name and telephone number for each volunteer.  This data is provided to us on paper forms or by email. These details are stored securely by RCLedbury organisers and are not made available to third parties unless required to do so by law. 

Clients:  When someone books an item for repair they are asked to complete a registration form with their name, email address and telephone number plus a confirmation that they accept the terms and conditions of RCLedbury.  This is required for insurance purposes and to allow us to be able to follow up on a repair if necessary.  These details are stored securely by RCLedbury organisers and not made available to third parties unless required to do so by law.  Clients may also consent to be on our mailing list to be kept up to date with RCLedbury developments, but they can unsubscribe from this list at any time.

Website form data:

There is a ‘Subscribe’ form that collects a name and email address for our mailing list.  

When booking a repair slot we collect name, email address and telephone number.  This is necessary information needed to manage bookings.

For volunteers we also record a home address and an emergency contact name and number.

Data Storage

Data is stored on paper files which are kept in a locked cabinet and electronically on computers based in the United Kingdom. You have a right to request a copy of the personal information we hold about you and have any inaccuracies corrected.  Our mailing list is managed by MailChimp and this data is held on servers based in the United States.

Data retention

We will normally hold personal details for three years following the last contact with RCLedbury, unless someone asks for their information to be removed before this date.  If this is requested we will delete the information within 28 days unless there are any overriding legal reasons as to why we should retain it.

Requests for copies of the data we hold on you and/or requests to correct or delete it should be made by email through admin@repaircafeledbury.org.uk or by bringing a written request in person to a RCLedbury meeting.

Cookies

Our web platform generates some cookies as part of its normal operation.  These are not required for the website to work correctly for visitors and are only relevant to the website managers. They do not collect any visitor data.  Disabling cookies will have no effect on normal operation.

Website statistics

We use a system (not Google) which only records basic visitor numbers and does not collect any personal details.
